Freedom of Information

Our voluntary transparency scheme: what we publish, what you can request, and how we respond.

Transparency & disclosure. Cogenti is a private company and is not a public body under the Freedom of Information Act 2014. We nevertheless publish this voluntary transparency scheme so you know what information we hold and how to request it.
1

Purpose of this scheme

This Freedom of Information (FOI) Transparency Scheme sets out the categories of information Cogenti voluntarily makes available, and how members of the public may request additional information. While Cogenti is not a "FOI body" under the Freedom of Information Act 2014 (Ireland), we believe in openness about how we operate.

2

Information we routinely publish

The following is available without a formal request: Terms and Conditions; Privacy Policy (GDPR); FAQ; product descriptions on our website; and this FOI scheme. Aggregated, anonymised usage statistics may be published periodically at our discretion.

3

Information available on request

You may request non-personal information about: our corporate structure and registered details; high-level descriptions of our technology stack (excluding trade secrets); environmental or accessibility policies if adopted; procurement over threshold values if applicable; and records relating to formal complaints about the Service (redacted for personal data).

4

Information we cannot release

Requests may be refused or partially redacted where disclosure would: infringe third-party intellectual property or commercial confidentiality; contain personal data of other users (protected under GDPR); compromise security, infrastructure, or AI safety measures; be subject to legal professional privilege; or be manifestly unreasonable or vexatious.

5

How to make a request

Send a written request to foi@cogenti.eu with the subject line "FOI Request". Include: your name and contact details; a clear description of the information sought; your preferred format (electronic or paper); and whether you are willing to pay reasonable reproduction costs if applicable.

6

Acknowledgement & response times

We aim to acknowledge requests within 5 working days. A substantive response will be provided within 20 working days of receipt, unless an extension is required for complex requests — in which case we will notify you with reasons, in line with FOI Act timeframes as a best-practice benchmark.

7

Fees & charges

Access to information published on our website is free. For formal requests, we may charge for the cost of retrieval, copying, and postage where permitted. We will notify you of any fee before processing and you may withdraw your request.

8

Appeals & review

If you are dissatisfied with our response, you may request an internal review within 4 weeks by emailing foi@cogenti.eu with "FOI Internal Review" in the subject line. A different officer will review the decision within 15 working days. This is a voluntary process — statutory FOI appeals to the Information Commissioner do not apply to private companies.

9

Personal data & GDPR

FOI requests must not be used to obtain another person's personal data. Requests for your own data should be directed under GDPR to privacy@cogenti.eu. Where a request overlaps with personal data, we will apply GDPR and redact accordingly.

10

Publication scheme review

We review this scheme annually and update it when our practices change. Last review: June 2026.
